Executive Assistant

We're looking for a highly organised and proactive Executive Assistant to support the Managing Director and Executive Team of DIALOG Fitzroy, a well-established and respected engineering and construction company based in New Plymouth. This is a pivotal role that offers variety, responsibility, and the opportunity to work closely with senior leadership across New Zealand and Australia.
About the Role
As the Executive Assistant, you'll be the right hand person to a busy executive, managing everything from diary coordination and travel bookings to preparing board-level documents and supporting company-wide initiatives. You'll also act as a key liaison between the MD, executive team, staff, and clients—helping to ensure smooth communication and operations across the business.
This role also includes supporting the wider Executive Team, CFO, and the company reception area. You'll be involved in everything from arranging events and newsletters to managing property rentals and FIFO logistics.
Key Responsibilities
- Provide daily executive support to the MD, including diary, travel, and meeting coordination.
- Prepare agendas, take minutes, and follow up on action items for Executive Team meetings.
- Manage confidential documentation, contracts, and NDAs.
- Provide support to the wider Executive team including travel, offsite meetings, project support.
- Coordinate company-wide events, sponsorships, and special projects.
- Liaise with internal teams and external stakeholders across NZ and Australia.
- Manage travel and accommodation, long term rentals and associated services.
- Provide secretariat support for NZ Companies Office and ASIC filings.
- Support reception, newsletters, and office supplies.
What You'll Bring to the Role
- Demonstrated experience as a Personal Assistant or Executive Assistant, ideally supporting senior leadership.
- Outstanding organisational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills, with a confident and professional manner.
- A high level of discretion, integrity, and attention to detail in handling sensitive information.
- Strong proficiency in Microsoft Office and confidence using digital tools and reporting systems.
- A proactive, solutions-focused mindset with the ability to work independently and anticipate needs.
- A collaborative team player who's flexible, adaptable, and willing to step outside the job description when needed.
